Missed call cost calculator: what unanswered calls cost you

This free missed call cost calculator shows what your unanswered calls and enquiries are worth each month. Put in four numbers: enquiries a week, average job value, how many you miss and how many you win. It takes off the cost of answering them (Growth, A$499 a month ex GST) and shows what’s left. No email needed.

  • Four numbers you already know, about two minutes
  • The result is after the plan, phone usage and set-up fee
  • Nothing is sent or stored, and there’s no form

First: how the work arrives
How do most of your new enquiries reach you?

This isn’t part of the maths. It picks the plan on the cost side: Growth at A$499 if they ring or it’s both, Starter at A$199 if they type.

They ring the phone.
A number on a van, a Google listing, a sign, a referral with a mobile attached.
They type.
Web forms, email, Facebook or Instagram messages, a portal enquiry.
Both, about half and half.
The phone rings and the inbox fills, and neither one is the small half.

The one figure of ours: six in ten. We assume six in ten of the enquiries you miss are still open when something answers within minutes, and four in ten have already gone elsewhere or were never a real job. It’s our own estimate, not a published study, and we’ve set it low on purpose. Every other number in the maths is yours. The working is printed in full below →

The result takes off the plan and phone usage each month, and the one-time set-up fee from the year figure. Every step of the working is printed, so you can find the step you disagree with. The score ranges below go by what’s left each month after costs.

Over A$5,000
Check the inputs before you believe it

A figure this big more often means one input is optimistic: a miss rate from your worst week, or a job value from your biggest jobs. Halve the miss rate and run it again. If it still lands here, measure your real miss rate before you act.

A$1,500 to A$5,000
Clearly worth doing

Enough volume and value per job that even a careful reading comes out well ahead. The thing to check isn’t the maths: it’s whether you could do the extra work if it turned up next Monday.

A$400 to A$1,500
It pays for itself

Comfortably above the cost, without being a number to get excited about. Read it as a decision about attention as much as money: what you’re buying is not having to think about the phone.

A$0 to A$400
Marginal. Do the free fixes first.

It covers itself and not much more, and a margin this thin isn’t worth a monthly commitment while the free fixes are undone. Test your own contact form, put a price range in your auto-reply and set an honest after-hours message. Then run this again in a fortnight.

Below zero
It doesn't pay. Don't buy it.

On these numbers the plan costs more than the work it would recover. It’s rarely one bad slider: a modest number of enquiries times a small job times an honest miss rate, against a flat monthly cost. The example small business in the table below comes out negative. The free fixes are the whole of our advice here.

Everything above happens in this browser tab. Nothing you enter is sent or stored, there’s no form to put it in, and closing the tab clears it. The weakest number in the working is our six in ten, and the second weakest is the miss rate, because it’s the one you guessed. Privacy →

Measure the guess
Three of those numbers were facts. One was a guess.

Enquiries a week, average job and win rate: you know all three, near enough. The share you miss is the one nobody can tell you, because a missed enquiry leaves no trace. And the whole answer swings on it.

So measure it. For a fortnight, count the calls that rang out or went to voicemail (your phone’s call log shows them) and the forms and messages that waited until the next day. Then ring your own number after hours and hear what a customer hears. The free speed test takes about a minute and shows where the gaps are.

Then come back and put the real figure in the third slider. The answer is only as good as that number.

No email is asked for on this page or on the speed test.

Read the monthly figure

The yearly figure is arithmetic, not a forecast.

You chose all four inputs, so you can make the number as big as you like. Read the monthly figure, and treat the year as arithmetic: it assumes twelve identical months, no quiet January, no week away and no limit on the work you can do. The number worth acting on is the extra jobs a month, which you can check against your own diary. If it comes out under about A$400 a month, the free fixes are a better use of the next fortnight than we are.

Free fixes first

Stop losing leads when you can’t answer. Start with the free fixes.

Six things that don’t involve us, and all of them cut the share of enquiries you miss. If your result came out under about A$400 a month, this column is the whole of our advice. If it came out well above, do them anyway: a plan on top of a broken contact form recovers nothing.

Do it yourself

Six fixes that cost nothing

Free · This week · No help needed

Ring your own number from a mobile at a quarter past five, and again on Saturday morning. Whatever happens is what happens to your customers.

Test your own contact form from your phone, now, and check it arrived and how long it took. Forms break quietly: a plugin update, a changed address, a spam filter.

Divert to a mobile after four rings and turn on voicemail-to-email. A missed call that arrives as text gets returned.

Record a greeting that names a time: “I’m on a job. Leave your name and suburb and I’ll call before six.” The default network greeting gets a hang-up.

Put real information in your auto-reply: a price range, your service area, your hours and a booking link.

Write down last month’s enquiry count. Then the first slider stops being a guess, and after a fortnight, so does the third.

Or have it answered

When you can’t get to it

From A$199 typed · A$499 if it rings · Plus set-up

It covers the hours you can’t staff: 9pm, Saturday, mid-job with both hands full.

It answers with your prices and service area, because we build it on them first. A fast answer recovers a job; a fast “thanks” doesn’t.

It books into your calendar, the step that turns a recovered enquiry into work.

It follows up when a quote goes quiet, whether anyone remembers or not.

Typed enquiries: Starter, A$199 a month plus A$999 set-up. Web chat, email, Facebook and Instagram, with no phone number and no texts: alerts and follow-ups go by email.

A ringing phone: Growth, A$499 a month plus A$1,999 set-up, with an Australian mobile number included (or keep yours and divert). Calls A$0.03 a minute, texts A$0.11 sent and A$0.02 received; most businesses spend about A$30 to A$70 a month on those (an estimate).

If you do the left column and nothing else, this page has worked. After a fortnight, count the enquiries that still arrived when nobody could answer, put that share in the third slider and run it again. If the answer is now below the cost, stay as you are. If not, see how the AI receptionist on Growth answers them, or book a free demo and we’ll tell you which column you’re in →

Read that as an example, not a claim. The higher guess lands just over A$5,000 a month net, the range where this page tells you to check your inputs. The weakest figures are ours: the six in ten, and the assumption that you’d have time for the extra jobs. The one-time set-up isn’t in the monthly columns; the year figure takes it off. Not counted: your own time returning calls, and quotes that go quiet later. The same 130 people enquired in both columns. Check how fast you reply →  ·  Compare an answering service →

Which plan fits

The plan in the maths depends on how the work arrives, not the size of the number.

The first question decides this, and it’s the only thing on the page that isn’t part of the maths. A ringing phone and a filling inbox need different plans at different prices. If your result came out under A$400 a month, the third card is yours.

If your enquiries ring

Growth, A$499 a month

An Australian mobile number is included, or keep yours and divert. It answers on the first ring, day or night, asks your questions, quotes from your price list, checks your calendar and books the job. If a caller asks for you, it takes a message and requests a call-back. Calls A$0.03 a minute and texts A$0.11 sent and A$0.02 received, billed by use: that’s the phone usage line in the calculator. Unlimited calls and messages, fair use applies. The one-time A$1,999 set-up comes off the year figure.

If your enquiries are typed

Starter, A$199 a month

Web chat, email, Facebook and Instagram answered in up to 3 seconds, at any hour, with your prices and service area in the reply. No phone number and no texts, so alerts and follow-ups go by email, and the calculator adds no phone usage. Unlimited conversations, fair use applies. The one-time A$999 set-up comes off the year figure.

If it came out under A$400 a month

Fix it free first

A thin margin on a guessed miss rate isn’t a reason to take on a monthly plan. Do the six free fixes, measure your miss rate for a fortnight and run this again. If the number has moved, you’ll know why.

Prices ex GST, billed monthly and locked in for your first 12 months. Get Found A$29, Get Organised A$59, Get Connected A$89 and Starter A$199 a month have no phone number and send no texts: alerts reach you by email. Growth at A$499 and Pro from A$799 include an Australian mobile number; calls are A$0.03 a minute and texts A$0.11 sent and A$0.02 received, billed by use (most businesses spend about A$30 to A$70 a month, an estimate). Smart Tools have no set-up fee. Set-up is A$999 on Starter, A$1,999 on Growth and from A$2,499 on Pro, and the calculator takes it off the year figure. It takes 7 to 10 business days on Starter and 10 to 14 on Growth from the onboarding call. Month to month, no lock-in, 30 days’ notice to cancel. Do you need a phone number? →  ·  Full pricing →

Missed call cost questions

What people ask after they've moved the sliders.

It depends on four numbers: how many new enquiries you get, how many you miss, how many you’d win and what a job is worth. On this page’s example numbers (25 enquiries a week, 30% missed, 30% won, A$600 a job, and our six in ten still open) that’s about A$3,510 of jobs a month, or about A$2,970 after Growth and phone usage. Your numbers will differ, so move the sliders. Use the calculator

It’s our own estimate, not a published study. It’s how many of the enquiries you miss we expect to still be open when something answers within minutes; the rest have already rung someone else, or were never a real job. We’ve set it low on purpose, because a recovered enquiry is colder than one you answered yourself. It’s the only figure in the working that isn’t yours.

Revenue. The slider asks what you invoice for a typical job, so the result is what you’d bill, not what you’d keep. Apply your own margin: for example, at a 40% margin, A$4,000 of revenue is about A$1,600 of profit.

Leave the example 30% for now, then measure it. For a fortnight, count the calls that rang out or went to voicemail and the messages that waited until the next day, then put that share in the third slider. The whole answer swings on this one number. Take the free speed test

No, it’s working. On your numbers, the enquiries you miss are worth less than the plan. It’s rarely one slider: a modest number of enquiries, a small average job and an honest miss rate add up to less than a flat monthly cost. So don’t buy it yet.
